Default Changes to TMS SBH Track event 8/31/03

To: All SportBikeHype TMS Track Day

Participants & Spectators

From:

Subject: New Schedule & Procedures

Date: 8/26/03

____________________________________________________________ ____________

SportBikeHype’s next Track day is:

This Sunday, August 31st
8:30 am ‘til 6:00 pm

at
TEXAS MOTOR SPEEDWAY

It ought to be a bit cooler, so it’s looking like it’ll be a GREAT Day. We hope you can make!

Subsequent to its last Track Day, SportBikeHype undertook an examination of its schedule and procedures, with a view toward further improving track time, safety and the enjoyment of its events by all those who attend. In connection therewith, SportBikeHype received comments from the community, and designed the following new procedures and schedule, which it believes will achieve the stated goals.

While the following procedures will not please everyone, SportBikeHype believes that they will serve the majority well, and, if learned and heeded by participants, will enhance the experience for one and all alike. With the foregoing in mind, SportBikeHype asks that all those who plan on attending future SportBikeHype events take 10 minutes to study the following:

NEW SCHEDULE:

7:30 am - Registration & Tech Open - There will be two (2) Tech Lanes (1 for cars and 1for motorcycles)
8:30 am – ALL newcomers (Drivers & Riders) to the Classroom

NOTE: Whether Advanced, Intermediate or Novice, all those who have not attended a Classroom Session of The SportBikeHype Motorsports School MUST receive orientation with regard to SportBikeHype practices and procedures. This may mean that some Riders and Drivers miss the first track session, but, with safety as the first priority, SportBikeHype considers this to be the best practice.
NOTE: ALL Novices (Car and Motorcycle) MUST return to the classroom after EACH on-track session!
8:30 am – First Group on the Track (usually, “Road Course Cars-Advanced,” to clear dust & debris)
8:45 am – Continue NEW GROUP ROTATION in the order set forth below

NEW GROUP ROTATION:

1 - Road Course Cars – Combined INTERMEDIATE & ADVANCED (May split into A & B groups)
2 - Road Course Motorcycles – ADVANCED (May split into A & B)
3 - Road Course Motorcycles – INTERMEDIATE (May split into A & B)
4 - Road Course Motorcycles - NOVICE (May split into A & B)
5 – Road Course Cars – NOVICE

- STRAIGHT LINE “STUNTING” – All day in parking lot, when available…

- STRAIGHT LINE “DRAG STYLE” – Will try for 2 sessions near lunch and in the afternoon

As noted above, whether Advanced, Intermediate or Novice, and whether Rider or Driver, ALL those who have not attended a Classroom Session of The SportBikeHype Motorsports School MUST attend AT LEAST the FIRST classroom session. After the first classroom session, Intermediate and Advanced Riders and Drivers need not come back. However, ALL Novices (Car & Motorcycle) must attend all three (3) classroom sessions, even though this may mean that some riders and drivers miss a track session.

NEW REGISTRATION PROCEDURES:

Upon arrival at registration, ALL Riders and Drivers MUST complete the new (copy attached) PAYMENT VOUCHER & PARTICIPANT REFERENCE SHEET & PROVISIONAL LICENSE (the "Form").
All participants must keep the Form with them at all times, and turn it in at the end of the day
This Form contains spaces for SportBikeHype Instructors to sign or stamp as the Novice participants progress (or, in the case of the Intermediates and Advanced, so that they can be signed or stamped allowing them to proceed through Tech and then directly on to track sessions.
At the end of the day, the Forms will be left with SportBikeHype so SportBikeHype can later prepare their SportBikeHype Motorsports License (which they will be able to pick up at the next SportBikeHype Track Day)
After registering, ALL RIDERS and DRIVERS MUST PROCEED DIRECTLY TO TECH IN THE CORRECT GARAGE, and MUST NOT ENTER ANY OTHER AREA!
At Tech, INTERMEDIATE and ADVANCED Drivers and Riders (generally, past participants beyond the Novice category) who wish to receive immediate Intermediate or Advanced status will take their Form to Tech, where Jeremy Garcia (for Drivers) or Jim Clutts, John Jankowski, Gary Welborn, Guy Jones, Tom Melesky and/or Mike Dailey (for Riders) will be waiting to sign or stamp it so the Rider or Driver can receive his/her sticker authorizing his/her to participate in Intermediate or Advanced track sessions.
For those who otherwise would be allowed Intermediate or Advanced status, but have not yet been to a SportBikeHype Track Day, approval should be withheld until after they attend the first classroom session, and return to Tech with their attendance noted on the Form.
At Tech, NOVICE participants will have their equipment scrutinized, but will NOT receive their stickers UNTIL AFTER they attend the first classroom session.
After their first classroom session, NOVICE participants MUST return to Tech with their signed or stamped Form and receive their stickers.

If a participant loses his/her Form, they will be REQUIRED to ATTEND THE CLASS AGAIN or SPEAK TO AN INSTRUCTOR IN ORDER TO GET ANOTHER ONE!! Also, as noted above, at the end of the day, the Forms will be left with SportBikeHype so SportBikeHype can later prepare their SportBikeHype Motorsports School License (which they will be able to pick up at the next SportBikeHype Track Day.

SUPPLEMENTAL TECH PROCEDURES:

There will be two (2) Tech Lanes: One for cars & one for bikes
On motorcycles, mirrors shall be removed, and all lights (front and back) taped
Instructors will congregate around Tech to assess those Drivers and Riders capable of receiving Intermediate or Advanced Status, and to sign those Riders & Drivers Forms so they can receive their stickers authorizing them to immediately participate in track sessions.
To maintain a Tally of the number of Riders & Drivers assigned to each group, as Riders and Drivers come thru Tech, EACH PERSON IN EACH CATEGORY will receive a number:

Car-Advanced (1 thru XX)

Car-Intermediate (1 thru XX)

Car-Novice (1 thru XX)

Motorcycle-Advanced (1 thru XX)

Motorcycle-Intermediate (1 thru XX)

Motorcycle–Novice (1 thru XX)

The number will be written in a conspicuous way on participants’ stickers, and on their Form, so SportBikeHype will know how many vehicles there are in each group, and can modify group size and/or group rotation “on the fly,” if the need arises. Then, groups will be called by vehicle type (car or motorcycle), level (Novice, Intermediate or Advanced) and number (i.e., “numbers 1 through 20”).

SUPPLEMENTAL TRACK PROCEDURES:

Pit-Out will carefully scrutinize each vehicle entering the track to ensure that it bears the correct sticker for the track session in progress, and will not allow those vehicles that are not in compliance to pass.
The Track Director and all corner station will carefully scrutinize all Riders’ and Drivers’ on-track behavior for compliance with passing rules, and acknowledgment of flags—AND WILL BLACK FLAG ALL THOSE WHO FAIL TO COMPLY.

There are many changes that will be implemented at this event, this is to improve upon the event and to make things smoother.

I will make an apology on behalf of SBH, the last event didn't go the way that it normally does. Come on out sunday and give it another go!

please e-mail me for the form that will be required to be kept on you at every event.

10-7pm jgarcia@texasresidential.com

just make a remark that you are needing the new SBH track form.

Jeremy, sounds like y'all REALLY put a lot of work into making this event as smooth as possible. I'd love to come out, but I'll be out of town, so I'll have to catch the next one.

Hope it all goes very well for you!

Just be sure to let me know when the next one is. I'm gonna have more parts showing up soon, and I want to see what I can shave off on my lap times.
